Oral Presentation Guidelines

The program offers 3 parallel sessions.  Please see the technical program,for scheduling details.

Preparing Your Presentation

Two minutes have been budgeted for transition between speakers, with 15 minutes for your talk, followed by 5 minutes for Q&A.  Please design your charts to fit the time frame and practice to make sure you will not run out of time.

Most presenters find that 10-12 charts is about right, as long as the charts are not overly complex or crowded.  A structure that works for most talks is: Problem Introduction, Your Solution, Advantages and Disadvantages, Suggested Applications, Recommendations, Summary. 

Presentation Schedule

To see when and where your session is scheduled, go to the site documented above.  To see the papers in your session and the order of presentation, simply click on your session.  Check frequently for late changes in exact time, but be assured you will not be moved from the stated day without us checking directly with you. 

You should have already been contacted by your Session Chair via email concerning your presentation.  If not, please attempt to contact them as soon as possible to provide a biographical information and ensure that any last-minute changes can be arranged smoothly.

 Sending Your Presentation

Presentation formats should be PDF or PowerPoint (with embedded fonts).

 By no later than May 1st, presenters should email presentations to radarcon@eprav.com with a copy to their session chair(s).  The subject line of their email should be their last name, title of presentation (or first few words if it is a long title) and session name, i.e.:  Smith - Radar Signal Processing Advances - Radar Detection 1
(If you don't have complete info, just use what you have.) 

The filename of the presentation should begin with the Paper ID # followed by the presenter’s last name and the word presentation, e.g., 1001 – Smith presentation.pdf. 
If the version is an updated version, please identify this with either a version number or a date of update.

As backup, please bring a copy of your presentation on your own memory stick. 

Sending Your Biographic Information

Presenters are requested to submit biographic information to ensure that the Session Chair(s) has enough information to properly introduce you.  Requested information includes:

Again, by no later than Tuesday May 1, the presenters should email their bio information to radarcon@eprav.com with a copy to their session chair(s).  The filename of the bio information file should begin with the Paper ID # followed by the presenter’s last name and the word bio, e.g., 1001 – Smith bio.pdf. If the version is an updated version, please identify this with either a version number or a date of update. 

If you will be presenting at multiple sessions, please copy the respective bio information to each Session Chair with the corresponding Paper ID #.

Presentation Etiquette

Dress ranges from “Business Attire” to “Business Casual”, with some leaning toward dressier attire on days they are chairing or presenting in a session.

 Additional Information

Although the 2012 Conference Proceedings CD-ROM containing all papers will be available at the conference, you may want to bring preprints of your paper for interested members of your audience. 

There will be a speaker’s breakfast each morning for oral presenters of that day.  Please attend the breakfast on the morning of your oral presentation so that you can meet your Session Chair(s) and obtain additional instructions.  The breakfast also serves to let the Session Chair(s) know that you will be present for your talk. 

A practice room will be available.  Check the printed schedule for room number and time. 

Please arrive well before your scheduled presentation time.

Each meeting room will be  equipped with a computer connected to a projector.

Also, remember to use a pointer, define all acronyms on first use, and take care not to block the screen.

Poster Session Instructions

The following is important information for individuals selected to present a poster summary of their paper.

One Chart Preview

The organizing committee is planning to promote poster papers by displaying a one chart preview of each poster paper during the breaks and lunches.

The following slide  is an example of what your one chart preview might look like.

Check frequently for late changes in exact time, but you can be assured that you will not be moved from the stated day without us checking directly with you.  Clicking on the session title will display all papers in that session as well as the names of the Session Chair.

Poster Board Information

The display area of the Poster Boards is 8' long x 4' high (2.4 m x 1.2 m). Push pins for affixing your poster to the display board will be provided.

Posting Your Paper

Poster sessions will include 14 posters board in the Prefunction area of the Grand Ballroom of the Hyatt. At conference check-in/registration, authors will be provided the number and location of their display board. The poster display boards will be available a minimum of 45 minutes prior to your poster session. We ask that all poster presenters have their material in place PRIOR to the beginning of the poster session to which they are assigned.  Authors should notify one of their session chairs when their paper is posted.

All poster presenters are required to remove their material from the display board prior to leaving the Exhibit/Poster area.  Please note that any poster(s) left on the boards will be removed and disposed.
